– EXHIBITOR INFORMATION-

EXPO VENUE:
Benton County Fairgrounds and Expo Center
7640 SW Regional Airport Blvd
Bentonville, AR 72712

EXHIBITOR PARKING:

The Exhibitor Entrance is on the East side of the Fairgrounds off of SW BARRONS Road. Use SW Regional Airport BLVD to SW Barron Rd, turn left to enter the paved parking areas for Exhibitors. Exhibitor Parking is on the North & East sides of the Expo Buildings. The Exhibitor Registration Desk is located at the side entrance of the Expo Center (see map). – DATES –

EXHIBITOR MOVE-IN: FRIDAY April 26th 9am-5pm All booths must be moved in by 5pm. We contact you to book a Move-in time for your company.
EXPO DATES and TIMES:
Saturday April 27, 2024 10am-5pm (Exhibitors have access to building at 8am)
Sunday April 28, 2024 11am-4pm (Exhibitors have access to building at 10am)
EXHIBITOR MOVE-OUT: Sunday April 30, 2023 4pm-6pm (Breaking down exhibits before 4pm is not allowed)

– EXHIBITOR REGISTRATION & BADGES –

EXHIBITOR REGISTRATION DESK & EXHIBITOR BADGES: The Exhibitor Registration Desk is located inside the main building, to the right of the front entrance. Exhibitors must check-in at this location when they arrive to setup their booth space. Your company’s (5) Exhibitor staff badges will be available for pick up at our Exhibitor Registration Desk. During the Expo on Saturday and Sunday, your staff without badges will be able to enter the expo and pick up an exhibitor badge for your company. We will assist you in rotating your badges for changing staff all weekend.

– EXHIBITOR PRE-SHOW PROMOTION –

COMPLIMENTARY TICKETS

Free Expo Tickets that you are free to distribute.
Complimentary Admission Tickets are sent to you for your invited guests/customers/clients. This is a proven way to spread the word about your appearance at the Expo and to generate more traffic to your booth. Prior to the Expo, Exhibitors receive a printed pad with 25 Free Admission Tickets to distribute as they wish. Exhibitors will also receive a Free Admission Ticket Image & Post for their Social Media Accounts. This will provide free admission to all of your followers from you.

SOCIAL MEDIA Promotion for Exhibitors

Prior to the Expo we provide promotion posts on our Facebook page for Each Exhibitor. To take advantage of this free promotion, send us your company name, company product or service description,, your links, your logo and some pictures that we can post. Send to wlexpos@womenslivingexpo and label the subject “NWA Promotion Post”. When we post about your company on our Facebook page, we will send you a share link so that you can spread the word about your appearance at the Expo!

– EXPO SERVICES –

– ELECTRICAL ORDER FORM –

Electrical service is limited and must be pre-ordered, please be aware that this building has very few connections to electrical. Exhibitors must provide their own electrical cords (up to 50′ in length) and plug strips – The cost for electrical per booth is $75 . Please pre-order by FEBRUARY 28th, 2024 NO ORDERS WILL BE TAKEN AT THE EXPO.

WIFI Internet:
– Public Wi-Fi Network: This network is unsecured and for casual, entertainment use at lower speeds for the general public. (It does not meet security compliance for most Point-of-Sale devices).
– Paid Secure Vendor Network: This network is a higher speed network that is encrypted and meets all PCI compliance requirements for Point-of-Sale and credit-card processing equipment, as well as safer, general-use. INSTRUCTIONS FOR WIFI BELOW:

– BOOTH INFORMATION –

BOOTHS SIZE: 8’wide x 10′ deep in the Main Building interior, 10′ wide x 8′ deep on the perimeter of the Main building, and 10′ wide x 8′ deep in the Auditorium Building. Please see you sales rep for specific dimensions for your booth space.
BOOTH INCLUDES: Booths include: 8’ High Backdrape, 3’ High Sidedrape, 6’ skirted Table, 2 Chairs and ID Sign
SHOWCASE INCLUDES: 8’ High Backdrape, 3′ High Sidedrape and ID Sign – NO FURNITURE included.
BOOTH SIGNAGE – Exhibitors provide their own banners and promotional material: The best size for banners is 8’Wx3’H, or 6’Wx30″H, or any standard pop-up banner, less than 8′ tall. Banners can only be hung on booth back drape, please bring your own hanger hooks.

SALES TAX FOR ARKANSAS Vendors are responsible for reporting all sales tax, tax forms will be available at our Exhibitor registration.

– SHIPPING INFORMATION –

Shipments must arrive at the Fairgrounds on Friday April 26, 2024 only.

– EXPO SECURITY –

SECURITY is provided for your protection however we are not responsible for theft of merchandise or personal theft. We suggest that you take precautions and not leave valuable items in your booth overnight. Door Guards and a Security Officer are on duty during the hours that the Expo is open to the public. As a safety precaution your Exhibit Space should not be left unattended during Expo hours.

– INSURANCE –

EXHIBITORS shall assume all responsibility for damages to the Exposition facility and property, and it shall indemnify and hold harmless Donnell Productions from all liability that might arise from any cause whatsoever including accidents or injuries to exhibitors, their agents and their employees and to attendees at the Expo. A Certificate of Insurance shall name Donnell Productions as a co-insured.

– CANCELLATION/FAILURE TO SET UP –

CANCELLATIONS received less than three months prior to the EVENT will receive no refund or credit and the Exhibitor is responsible for full payment. Failure to set up does not entitle the Exhibitor to any refund for sums paid for exhibit space.

– STAND OUT IN THE CROWD & INCREASE TRAFFIC TO YOUR BOOTH –

Email to wlexpos@womenslivingexpo.com the following information needed for your social media posts:
1 – a brief description of your company show specials or giveaway
2 – company logo
3 – up to 4 images for social media
4 – any information you want shared in your post along with photos or a video
5 – your Facebook page link and website link.
We will then create a post in our Featured Exhibitors, and on our NWA Facebook page and tag your business.
BE SURE TO GO TO OUR PAGE AND SHARE THE POST WITH YOUR COMMUNITY!
All submissions must be sent in completion, by April 10th, to be posted prior to the expo.
We will also provide you with Customized Digital Invitations To E-Mail To Your Data Base.
